| JOB SUMMARY (MISSION) |
Responsible for providing administrative assistance to senior management and the department. |
SPECIFIC RESPONSIBILITIES AND RESULTING OUTCOMES:
- Provides administrative support to IT management for the IT department
- Organizes meetings, including announcements, logistics, catering and the publication of agendas and minutes
- Arranges and manages senior management and departmental travel arrangements
- Manages the Information Technology department section contents on the Intranet and Extranet
- Organizes and manages departmental filing and project documents
- Prepares, dispatches and distributes departmental correspondence and incoming mail
- Maintains departmental schedules and tracks attendance records
- Manages and maintains confidential information (such as personnel files)
- Tracks and arranges for installation and maintenance of Blackberries
QUALIFICATIONS
Knowledge & Experience
- Two years of post secondary diploma in business training
- Five years administrative or business-related experience
- Working knowledge of office productivity software (MS Word, MS Excel, MS Outlook, MS Visio, MS Project)
- Working knowledge and experience with the Internet
- Experience with making travel arrangements
Skills and Abilities
- Ability to provide effective administrative assistance with minimum supervision
- Ability to organize work schedule with no supervision
- Good interpersonal and communication skills
- A pleasant and approachable personality
- Ability to work in a team is essential
- Ability to keep information confidential when required
