JOB TITLE Administrative Assistant, IT
STATUS Permanent, Full-time
LOCATION Burnaby
REPORTS TO Vice-President, Information Technology
JOB SUMMARY (MISSION)

Responsible for providing administrative assistance to senior management and the department.

SPECIFIC RESPONSIBILITIES AND RESULTING OUTCOMES:

  1. Provides administrative support to IT management for the IT department
  2. Organizes meetings, including announcements, logistics, catering and the publication of agendas and minutes
  3. Arranges and manages senior management and departmental travel arrangements
  4. Manages the Information Technology department section contents on the Intranet and Extranet
  5. Organizes and manages departmental filing and project documents
  6. Prepares, dispatches and distributes departmental correspondence and incoming mail
  7. Maintains departmental schedules and tracks attendance records
  8. Manages and maintains confidential information (such as personnel files)
  9. Tracks and arranges for installation and maintenance of Blackberries

QUALIFICATIONS

Knowledge & Experience
  • Two years of post secondary diploma in business training
  • Five years administrative or business-related experience
  • Working knowledge of office productivity software (MS Word, MS Excel, MS Outlook, MS Visio, MS Project)
  • Working knowledge and experience with the Internet
  • Experience with making travel arrangements
Skills and Abilities
  • Ability to provide effective administrative assistance with minimum supervision
  • Ability to organize work schedule with no supervision
  • Good interpersonal and communication skills
  • A pleasant and approachable personality
  • Ability to work in a team is essential
  • Ability to keep information confidential when required
